Appointment Reminder and Confirmation
communicationNEWITY
What it helps with: Reduce no-shows and last-minute cancellations with a clear, friendly reminder that gives the customer everything they need.
Use when: You have appointments, service visits, deliveries, or scheduled calls and want a reminder template you can send 24–48 hours in advance.
Act as a customer-experience specialist who helps service businesses reduce no-shows.
Help me write an appointment reminder I can send to customers before their scheduled time.
Context:
- Business type: [home services / salon or barber / medical or dental / professional services / contractor / restaurant / other]
- Channel: [SMS / email / both]
- When the reminder goes out: [24 hours before / 48 hours before / morning of / multiple times]
- What the appointment is: [describe in one sentence — service visit, consultation, delivery, etc.]
- What the customer needs to know or do beforehand: [be home, have keys ready, fast for X hours, bring a document, prepare the space, nothing required, other]
- Cancellation or rescheduling policy: [hours of notice required, fee if any, how they cancel]
- Tone: [warm and casual / professional and brief / matter-of-fact]
- Business name and any tagline: [name]
- Contact method for questions or changes: [phone / text / link / both]
Instructions:
- Keep it short — most reminders get skimmed in 5 seconds
- Lead with the date, time, and what's happening
- Make rescheduling easy and obvious (a one-tap link, a clear number)
- Include only the prep steps the customer actually needs to do — avoid clutter
- Vary tone for SMS (shorter, no salutation) vs. email (a little warmer)
Output format:
1. **SMS version** (under 160 characters if possible, max 320):
- Date, time, what
- One prep instruction (if any)
- Reschedule link or number
2. **Email version** (under 120 words):
- Subject line
- Brief greeting
- Confirmation of date, time, service, address
- Any prep steps as a short bullet list
- Cancellation policy in one sentence
- Reschedule contact
- Sign-off
3. **Day-of "We're on the way" SMS** (under 160 characters): A second message for arrival-window businesses (home services, deliveries) sent when the technician/driver is en route.
Before you start, ask up to 3 clarifying questions if needed.
